Job Title: Administrative Assistant II Job Description Admin Assistant – Job Description Time Management: Understand the goals of the organization, and use high levels of discretion to ensure the Director’s calendar is utilized effectively Act as the primary point of contact and use discretion to handle queries independently wherever appropriate. Understand who are the relevant position holders across CNX and navigate skillfully to resolve issues Use discretion to prioritize competing demands, set up meetings, capture minutes of meetings and share with attendees. Manage logistics related to meetings which includes but is not limited to arranging venues, technology support, Food & beverages, meeting stationery etc. in collaboration with relevant colleagues. Ensure adherence to recurring activities such as meetings as per governance, 1X1s with direct reports, and team lunches/dinners. Carry out delegated work for processes on tools such as Work Day, Travel & Expense for hiring requisition creation, leave approvals, expense approval etc. as per instructions. Proactively cultivate an understanding of these tools and processes through knowledge transition from colleagues. Travel & Expense: · Understand the company travel policy and manage travel itinerary, raise travel requests, book tickets and arrange accommodation for all work-related travel. · Maintain good understanding of visa regulations of frequently-visited locations, and complete visa-related documentation for all work-related travel. · Use company’s expense portal for timely expense claim. Administrative Support & Event Management: · Provide administrative support to visitors which includes but is not limited to managing itinerary, scheduling meetings, providing invite letters & other documentation for visa, suggestions/support for travel & stay, meeting logistics, Town Halls, Floor meetings, team dinners etc. Meet & greet visitors and ensure a positive experience. · Support in travel arrangement, expense claim and coordination for interviews. · Provide event management support for conducting events such as Town Halls, off-sites, employee bonding/ team building events, CSR events etc. · Build excellent internal networks to facilitate smooth functioning of CNX activities. · Manage cost estimates, raise POs, vendor-related processes for smooth functioning of CNX activities. · Be an active member of the Fire & Safety team and BCP teams and conduct exercises as needed. · Interact cross-functionally with departments, employees and vendors who work closely with the team. Reports, Presentations & Internal Communication Support: · Understand requirements, create report templates and share updated reports with stakeholders on a regular, recurring or ad-hoc basis. · Collect, validate & analyze data/information/updates and create first draft of presentations. · Collect relevant information and create first draft of communication for newsletters, organization announcements & updates, success stories, external communications, website updates etc. · Provide necessary support to communication team with initial drafts etc. · Ensure all documents & records are maintained for audit and future reference. · Maintain utmost confidentiality in dealing with sensitive information. · Proactively reach out to the team s stakeholders on actionable items and track them to closure. · Communicate clearly at multiple levels and with diverse audiences. · Handle multiple tasks while being flexible as priorities and focus can change rapidly.
